Attendance scenarios in Kaizala

Hi readers! In this post, we will talk about how Kaizala can be leveraged for monitoring and managing attendance. Whether its a small group like a class of students or a mid sized institution where employees need to mark attendance on a daily basis, Kaizala can come very handy for a variety of attendance scenarios.

First, we will talk about how you can leverage the Kaizala app for attendance, completely free of cost. Then we will also delve into how, with a Kaizala pro license, one can leverage advanced functionalities like customization and reporting.

Request attendance is a great example of how a supervisor can send out an attendance request in a group and everyone can respond to that instance. While requesting for attendance, the sender can choose how long the attendance instance is valid and whether the user needs to respond to the attendance with a photo. While responding, the group members will need to share their current location and a photo (based on whether the mandate has been enforced by the sender) along with any notes she might have. The sender will be able to see a collated view of the responses at his end. The sender can also share the attendance report in any other form of communication from the action’s immersive view itself.

One limitation of the request attendance card is that someone (or some automation) has to send the card out to a particular group every single day. So, there is a need to use Power Automate (previously known as Microsoft Flow) to send out an attendance card daily. This is an additional overhead in terms of licensing, managing and maintaining two different connected systems. Hence Kaizala also has a Attendance card, with which a user can mark his daily attendance. It has option of checking in and checking out everyday. Apart from that, members can view their past week’s history in the card itself. Also, the admins can see the group weekly history for the past week. The card also has the provision to share the attendance results. The advantage of this card is that there is no necessity to send the request out to get attendance. Members can check-in and check-out on week-days at their own times and all records are available in the card itself.

If you have a Kaizala pro license, you should have access to the Kaizala management portal. You can create a new attendance action from the templates available in portal by navigating through Actions – New Action – New Attendance. The main advantage of this is the myriad configurations available like whether multiple check-ins needs to be enabled or whether the responder phone number and photo need to be captured. Note that, all attendance cards will have location capture enabled by default.


The data for attendance responses can be seen at the attendance tab in Analytics section. Once you choose the card, which can be request attendance (Attendance Card v1), attendance (v1.7) or a custom card built from action designer, you can choose the respective group and get the results. Results can also be downloaded in .csv files which can then be used to slice and dice the data.


Attendance is a very high value scenario for all organisations; with more and more people working remotely, it enables collaboration and easier management. Kaizala as a productivity tool brings out all the features necessary for seamless attendance capturing and empowers all organisations to achieve more.

      1. Hi @Parijit Roy, could you help me on this too ? Currently I’m using cards from Kaizala Portal. But, its good to set a trigger, every morning 8am all members need to update their attendance.
